Administrative Coordinator - Walsh Research Lab

This position, supporting the lab of Dr. Christopher Walsh at Boston Children’s Hospital, provides high level administrative support to the Investigator and research staff in a fast-paced environment. The Walsh lab studies genes that regulate the development and function of the cerebral cortex – mutations in which can cause autism and epilepsy, as well as intellectual disabilities and other learning disorders.
 
This role is a unique opportunity to support a lab that is changing the way that we think about human cognitive abilities and the role that genetics plays in their development. The best candidates will be passionate about serving a lynchpin role within the lab and being the ‘go to’ person for questions. A can-do attitude and desire to provide excellent customer service are must have qualities for this position.
 
Principal Responsibilities:
  • Provide administrative support for the HHMI Investigator
  • Manage the calendar and coordinate complex scheduling, including internal and external meetings, conferences, professional engagements, and travel for the Investigator
  • Coordinate domestic and international travel arrangements and prepare detailed travel itineraries
  • Organize weekly laboratory meetings, special seminars, and laboratory outings
  • Compile expense reimbursement requests through multiple sources and systems
  • Update Investigator CV and biosketch
  • Order office supplies and reconcile monthly purchasing card expenses
  • Reserve floor conference room for other labs and departments
  • Maintain the floor copier and fax
  • Assist postdoctoral fellows with onboarding requirements and HMS appointments
  • Coordinate letters of recommendation
  • Handle phone calls, screen and greet visitors
 
Required Skills:
  • Ability to assess rolling tasks in busy lab and prioritize accordingly
  • Exceptional written, verbal and interpersonal communications skills
  • Ability to work both independently and as part of a team, use good judgment, meet tight deadlines and show initiative Customer service mindset and commitment to mission
  • Experience with Microsoft Office applications required.
  • Bachelor’s Degree and minimum of 5 – 8 years of high-level executive support
